How our India sourcing and quality control process works

Seven stages, one point of contact. Here is exactly what happens when you ask us to source a product from India — and which parts are standard versus arranged per project.

  1. Supplier discovery across India

    Supplier discovery

    We start from your product brief — specifications, materials, target quantities, and timelines — and shortlist manufacturers whose capability and capacity genuinely fit. We look beyond online listings: workshop visits, trade references, and our existing network across Rajasthan and North India.

  2. Supplier verification

    Shortlisted suppliers are checked in person. We look at the workshop itself — machinery, workforce, working conditions, current order load — and confirm they can make your product to specification, not just something similar. You receive a plain written summary of each option with our honest recommendation.

  3. Product samples review and approval

    Samples and approvals

    We coordinate sampling with the chosen supplier against your specifications: dimensions, materials, finishes, packaging. Feedback rounds are consolidated so the factory gets one clear revision list, not scattered comments. Production only starts after your written sample approval.

    Scope note: the first sample round is part of standard sourcing support. Additional development rounds or complex prototyping are scoped separately.
  4. Commercial coordination

    We help align the commercial terms before production: pricing against the approved sample, payment schedule, lead time, and packaging and labelling requirements. Everything is confirmed in writing between you and the supplier — we coordinate, and you stay the contracting party.

  5. Production follow-up

    During production we stay in contact with the factory: confirming start dates, checking progress at agreed milestones, and flagging delays early — while there is still time to act. You get short, dated updates rather than silence followed by surprises.

    Scope note: update frequency and on-site production monitoring visits are agreed per project, depending on order size and risk.
  6. Quality inspection checks

    Before anything ships, products are checked against your approved sample and specifications — measurements, finishes, function, and packing. Checks are documented with dated photographs. If goods do not meet the agreed standard, you hear about it before the container is loaded, not after it arrives.

    Scope note: a final pre-shipment check is standard on managed orders. In-production inspections and lab testing are arranged per project scope.
  7. Shipment preparation and container loading

    Shipment preparation

    We coordinate the final steps at the factory: confirming packed quantities against your order, checking export packing and markings, and aligning with your forwarder on pickup. You receive a packing summary with photos so your logistics run on facts, not assumptions.

Engagement and pricing

Managed sourcing is billed as a 5–10% commission on order value, or a monthly retainer of $1,500–$3,000 depending on scope — agreed in writing before work begins. Separately scoped extras: standalone factory audits and inspections (~$500 per visit), in-production inspections, additional sample rounds (~$30+ per round), third-party lab testing (at actual lab cost), and container loading supervision.
